CSV Order Export: Basics (Supported Carriers, Import Range, Export Steps)
plan: Pro plan only (R6)
screens: Top tabs "Order List", "Settings", "Update tracking" / tabs inside settings "CSV templates", "Routing rules", "Shipping lead time", "Fetch settings"
verified_from: The admin implementation (the CSV screen, the fetch API, the initial template definitions) + human-facing manual
ui_verified: Field names were confirmed from the code. Visual confirmation on the real screen has not been done
scope: Export basics only. Detailed output value settings (code, regular expressions, splitting) and tracking number update are on other pages
note: Initial template names are Japanese carrier-specific names and are shown as they are (the English admin may show the same strings). The CSV screen is only partly translated in the English admin, so some labels may appear in Japanese.
SUMMARY
A feature that exports Shopify orders as CSV in the format a carrier specifies (Pro plan only). The shape of the output is decided by a CSV template (the format of one CSV), and orders are chosen in the Order List and exported per template. The flow of importing the exported CSV into the carrier’s system and returning the tracking numbers the carrier issued as a CSV to reflect on the orders (tracking number update) is done on the same screen.
FACTS
CS-1 CSV order export is Pro plan only. The feature does not appear for stores that are not on Pro.
CS-2 There are four initial templates (carriers): "ヤマト B2クラウド" (Yamato B2 Cloud), "佐川 e飛伝3" (Sagawa e-Hiden 3), "クリックポスト" (Click Post), "ゆうパック" (Yu-Pack).
The first default is "ヤマト B2クラウド". Templates can be added, duplicated, deleted and reordered.
CS-3 The character encoding of all four initial templates is Shift_JIS. Only Yu-Pack does not output the header row initially.
The encoding, newline code and presence of the header row can be changed per template.
CS-4 Default import: orders whose status is open and that are unfulfilled or partially fulfilled, with an order date within about 60 days.
CS-5 The import conditions are changed in "Settings" → "Fetch settings". After a change, they are not reflected in the Order List until you fetch again with "Fetch orders".
CS-6 To export, choose orders in the Order List and press "Export" of the target template in the "Template list" panel on the right (the number of selected items is shown).
CS-7 When exported, the export time is recorded per order and an "Exported" badge appears in the Order List (the record is made when "Record CSV export timestamp" is ON).
CS-8 The items (columns) of a CSV can be freely added and edited per template. Values can be decided by a fixed value, an order field, character conversion, conditional branching or code.
CS-9 The initial settings for tracking number update (order number column, tracking column, carrier) are included in the four templates (another page).
CS-10 There is no upper limit on the count, but since it is processed in the browser's memory, 200 or fewer at a time is recommended (human-facing FAQ).
CS-11 The CSV screen has a new screen and a legacy screen. The legacy screen is available until December 19. Until then, you can switch back to it any time using the button in the bottom-right corner.
CS-12 Existing output history is carried over to the new screen automatically. However, output history in the new screen and the legacy screen are stored separately, so outputs made in the new screen do not appear in the legacy screen.
CS-13 Clicking an order in the order list opens the order details from the right. The "Products" section lists cards for the unfulfilled shipping units. When a template uses "Split per delivery fulfillment (for split shipments)", the products in already-fulfilled shipping units are shown below the unfulfilled cards as read-only "Fulfilled" cards (fulfilled products cannot be assigned or changed).
CS-15 A template can have a "Carrier" (type). The choices are "ヤマト B2クラウド" (Yamato B2 Cloud), "佐川 e飛伝III" (Sagawa e-Hiden III), "ゆうパック" (Yu-Pack) and "Not specified".
For newly installed stores, and for templates created from the initial templates (Yamato, Sagawa, Yu-Pack) with "New template", the type is set from the start. An empty template and Click Post are "Not specified".
Templates of stores that have used the app for a while may have no type (a suggestion based on the column names appears, CS-16).
CS-16 When the type is "Not specified", neither the required-field help nor the gift setting is shown. Only when the type can be guessed from the column names, a suggestion "Looks like ..." appears and can be confirmed with a button (it is never changed automatically).
CS-17 When a type is chosen, "N of M required fields filled" and "Fill required fields (K left)" appear in Basic info. Pressing it opens all the required columns (including already filled ones) one by one; move on with "Save and next" or "Skip". Required columns get a red "※". The required columns and notes (length, format) are based on the carrier's official import format. The CSV output does not change when the type is changed.
CS-19 When a newly installed store opens the CSV screen for the first time, a "Sender (initial setup)" modal appears. It is pre-filled with the shop's name, phone, postal code, prefecture, city, address 1 and address 2. Check and edit it, then press "OK" to set it as the sender columns of the Yamato, Sagawa and Yu-Pack templates. Columns that are already set are not changed. After applying, press "Save" at the top of the screen. "Later" closes it without applying. Address and phone are filled only for shops in Japan. Newly installed stores do not see the "Welcome to the new CSV export UI" notice.
CS-18 Basic info has a "Shipping carrier (tracking update)" field. It is the carrier used when tracking numbers are applied, and it is the same setting as "Shipping carrier" on the "Shipping (tracking number)" screen (changing either changes the same value).
CS-14 When "Routing" is ON in the template list, a template that orders were actually routed to gets an arrow on its left. A template that no order was routed to gets no arrow. This is the same for templates that use "Split within one order by product" (product-level routing conditions).
Initial template table
| Template name | Carrier (for tracking number update) | Encoding | Header row | Note |
|---|---|---|---|---|
| ヤマト B2クラウド | Yamato (JA) | Shift_JIS | Yes | The initial default. Imported with B2 Cloud’s “issue from external data” |
| 佐川 e飛伝3 | Sagawa (JA) | Shift_JIS | Yes | The import format of Sagawa Express e-Hiden III |
| クリックポスト | Japan Post (JA) | Shift_JIS | Yes | |
| ゆうパック | Japan Post (JA) | Shift_JIS | No | The import format of Web Yu-Pack Print |
The carrier type is set from the start: ヤマト B2クラウド = Yamato, 佐川 e飛伝3 = Sagawa, ゆうパック = Yu-Pack. Click Post is “Not specified”.
- The human-facing manual calls the two Japan Post ones “Click Post” and “Web Yu-Pack Print”. The template names on the screen are “クリックポスト” and “ゆうパック”.
- Other carriers (Fukuyama Transporting, Seino Transportation, etc.) have no initial template. Whether you can support them by building the items (columns) yourself and adding a template depends on the carrier’s import format (number of columns, column order, encoding). Handle each case individually: tell the user to contact the developer and draft the inquiry (include the carrier name and the specification of the import format).
Import conditions (“Settings” → “Fetch settings”)
Import range ("Import range"):
- "Last 60 days (recommended)" … the default. Open and unfulfilled / partially fulfilled orders within about 60 days
- "All time" … open and unfulfilled / partially fulfilled orders regardless of the period (the browser may become heavy depending on the count)
Orders to include:
- "Include shipped orders" … when ON, specify a period ("Start date", "End date") and import orders of all statuses. For re-download and correction output. The count increases greatly
- "Include non-fulfillable orders" … for stores using their own / external custom fulfillment integration. It turns ON together when "Include shipped orders" is ON
Excluding products:
- "Remove cancel product items."
- "Product names to exclude (partial match)" … exclude lines whose product name (including the variant name) contains the given words from the CSV. Separate several with commas. The order itself is still imported
Fetching metafields:
- "Order Metafields" … specify in namespace.key form. Needed when referenced in a CSV column. Re-fetch is needed after changing it
CSV export behavior:
- "Record CSV export timestamp" … when OFF, the status always shows "Unexported" even after exporting
PROC-C0 Turn on the CSV export feature
Where: App left menu "Connect(Pro Plan)" > "Order List" > the check "Order List is Active"
Steps:
1. Open the left menu "Connect(Pro Plan)" and activate the Pro plan (you move to the approval screen)
2. Under "Order List" check "Order List is Active" (when ON you move to the CSV screen)
Result: the CSV screen (tabs "Order List", "Settings", "Update tracking") becomes available
Note: the CSV screen does not appear for stores that have not activated the Pro plan or where "Order List is Active" is OFF
PROC-C1 Export orders as CSV
Where: App left menu "Order List" > top tab "Order List"
Steps:
1. Open the top tab "Order List" (first import the orders with "Fetch orders")
2. Check the orders you want to export ("<n> selected" appears in the right panel)
3. In the "Template list" on the right, press "Export" of the template you want
4. The CSV is downloaded. Import it into the carrier's system
Notes:
- Press "Preview" to check the CSV content before exporting. You can also export with "Download CSV" on the preview screen
- "Character encoding", "New line code" and "Include header row" can be changed with "Quick format settings" on the preview screen
- After exporting, check or filter whether it was exported with the "Exported" badge in the Order List
PROC-C2 Add, duplicate, reorder and delete templates
Where: App left menu "Order List" > top tab "Settings" > "CSV templates" (the heading of the list is "Template list")
- Add: "+ New template" → on the "Add new template" screen choose a carrier's initial template or "Empty template"
- Duplicate: "Duplicate". "(Copy)" is added to the name. A duplicated template does not become the default
- Reorder: "Reorder". Change the order by dragging
- Edit: "Edit" adds / edits / reorders items (columns). The template's name and format are on the same screen
- Delete: "Delete" → confirm in "Delete template". When the default is deleted, the first remaining template becomes the default
- Default: the "Default" badge and "Set as default" are shown only when "Routing rules" are used (ON). There is only one default
Note: after changing a template, save with "Save" at the top of the screen
PROC-C2b Set the carrier type and fill in the required fields
Where: left menu "CSV" > top tab "Settings" > "CSV templates" > "Edit" of the template > "Basic info" on the right
Steps:
1. In "Carrier", choose Yamato B2 Cloud / Sagawa e-Hiden III / Yu-Pack (when it can be told from the column names, the "Looks like ..." suggestion button also works)
2. Press "Fill required fields (N left)". All required columns (including filled ones) open one by one
3. Enter a value and press "Save and next". Press "Skip" for a column you do not fill in
4. Save with "Save" at the top of the screen
Note: With "Not specified" the help is not shown. The exported CSV does not change
PROC-C3 Widen the import range
Where: App left menu "Order List" > top tab "Settings" > "Fetch settings"
A. I want to export shipped orders (re-download, correction output)
1. Open "Settings" → "Fetch settings"
2. Turn ON "Include shipped orders" and specify the order-date period with "Start date" and "End date"
3. Press "Save" and fetch again with "Fetch orders"
Note: even if "Import range" is "All time", shipped orders are not included ("All time" only removes the period limit for unfulfilled / partially fulfilled orders)
B. I want to export unfulfilled orders older than 60 days
1. Set "Import range" in "Fetch settings" to "All time"
2. "Save" → "Fetch orders"
Note: in both cases the screen gets heavy as the count increases. Narrow it to the period you need
QA
- Q: Can it export in Yamato B2 Cloud’s format? A: Yes. The initial template “ヤマト B2クラウド” is B2 Cloud’s import format and its encoding is Shift_JIS (CS-2, CS-3). Carrier-specific values such as the billing customer code are set in the items (columns).
- Q: What about the Sagawa and Japan Post formats? A: “佐川 e飛伝3”, “クリックポスト” and “ゆうパック” are among the initial templates (CS-2).
- Q: The characters are garbled. A: Check that the template’s encoding matches the destination. The initial templates are Shift_JIS (CS-3). It can be changed with “Character encoding” in “Quick format settings”.
- Q: I want to export shipped orders again. A: Turn ON “Include shipped orders” in “Fetch settings”, specify the period and fetch again (A of PROC-C3). “All time” alone does not include shipped orders.
- Q: Old orders do not appear. A: By default only unfulfilled orders within about 60 days are targeted (CS-4). For old unfulfilled orders set “Import range” to “All time”; for shipped orders specify a period with “Include shipped orders” (PROC-C3).
- Q: Can the CSV be exported automatically at a fixed time every day (attached to an email, etc.)? A: No. The CSV is made from the browser screen by fetching and exporting.
- Q: Can shipping completion data from Japan Post WMS etc. be imported into Shopify? A: A similar operation is possible by combining CSV export and importing tracking numbers (tracking number update). See the tracking number update page.
- Q: I do not want specific products such as gift wrapping in the CSV. A: Enter the words in “Product names to exclude (partial match)” in “Fetch settings”. The order itself is still imported.
- Q: How many can be exported? A: There is no limit, but 200 or fewer at a time is recommended (CS-10).
- Q: The “exported” mark is not attached. A: When “Record CSV export timestamp” is OFF it is not recorded (CS-7).
QA (additions)
- Q: I want to go back to the legacy screen. Until when can I use it? A: Until December 19, from the button in the bottom-right corner (CS-11). Output history made in the legacy screen and in the new screen are stored separately (CS-12).
- Q: After switching to the new screen, my previous output history is gone. A: The previous history is carried over automatically (CS-12). For stores with a very large history, older history may be tidied up. To check, ask for the order number and when the new screen was first opened.
- Q: Fulfilled products do not appear in the order details. A: The “Fulfilled” card appears only when a template uses “Split per delivery fulfillment” and the order has a fulfilled shipping unit (CS-13). It does not appear for orders whose products are all unfulfilled.
- Q: I turned “Routing” ON, but a template has no arrow. A: A template that no order was routed to gets no arrow (CS-14). Check that orders have been fetched with “Get orders”, and the routing rule conditions.
